Refund Policy

SETC understands that unexpected circumstances can arise. Refund requests will be considered according to the schedule below. 

All refund requests must be submitted in writing to SETC at registration@setc.org  
(mail to: registration@setc.org)  


Requests will be processed in the order received and will be valued based on the date the written request is received according to the following: 

Timing of the refund request is received 

Refund eligibility 

45 Days Prior to Event Start Date 

Full refund, less a $25 administrative fee 

44 Days to 30 Days Prior to Event State Date 

75% refund 

29 Days or Less Prior to Event Start Date 

50% refund 

No refunds will be issued for requests received on or after any event has begun, and absolutely no refunds will be issued after the event concludes, including any members of groups or companies. 

Refunds apply only to eligible convention registration fees. Payment processing fees, audition fees, application fees, exhibitor fees, sponsorship payments, ticketed meal functions, and other separately purchased items may be non-refundable unless otherwise stated in writing by SETC. 

Approved refunds will be issued to the original method of payment whenever possible. SETC is not responsible for delays caused by banks, credit card processors, or third-party registration platforms. 

Registrations may be transferred to another eligible attendee before the convention, subject to SETC approval and any applicable registration category requirements. Transfer requests must be submitted in writing and processed before the end of the event. 

No-shows, or people who did not write in advance of the event, are not eligible for refunds. 

SETC reserves the right to review extraordinary circumstances on a case-by-case basis and allow for additional refunds; however, exceptions are not guaranteed.
